    A document pack is most useful when each item is matched to the ingredient and source you intend to buy. Start by identifying the product name, grade, manufacturer and intended destination market.

    Specification and analysis have different roles

    The agreed specification describes the required limits and characteristics. A batch certificate of analysis records the reported results for an identified batch. Confirm the batch reference, document issue and relevant tests with your approval team; one document should not silently replace the other.

    Ask for relevant declarations

    Allergen, GMO, origin and other declarations should be requested where they matter to the ingredient and finished food. Check the issuing entity, date, scope and wording. An absence of information is not evidence for a free-from or origin claim.

    Check certificate scope

    A certificate may cover a particular manufacturing site, product range or supply-chain activity. Ask for the current certificate and verify that the nominated grade falls within its scope. Halal, kosher, organic and other claims should only be relied on when the applicable evidence is available and acceptable to your business.

    Keep the order aligned with the approval

    • Retain the approved specification and source details
    • Agree how source or grade changes will be communicated
    • Match delivery documents to the ordered material
    • Raise discrepancies before accepting a substitution
